Position Summary: The Office Manager provides broad and diverse administrative support to the Director and Associate Director, Research Institute. Responsible for overall management of the Office of the Director and signature approvals for Director's Office expenditures under $1,000. Responsible for administrative direction and supervision of the Administrative Associate, Budget Administrator; Visual Communication Design Specialist; and Communication Administrator. Minimum Qualifications: 1. A bachelor's degree plus a minimum of eight years of experience, or a minimum of 12 years of related administrative experience and training. Related experience may include any combination of typical administrative office functions, executive assistant functions, management of administrative and clerical staff and functions, developing/writing communications of various complexity, managing or performing financial processes of various complexity, and developing or managing organizational policies. 2. This position requires a person with successful demonstrated ability or skills: working with persons of diverse backgrounds, being customer-oriented, being organized, to adapt to a variety of assignments and to remain focused while handling multiple projects and deadlines in a fast-paced environment. 3. Must have successful demonstrated written and oral interpersonal and communication skills. Minimum examples would include drafting transmittal letters, invitations and announcements, meeting minutes and instructions (such as for following an organizational process). 4. Must have demonstrated proficiency in the use of Microsoft Office software such as Word (i.e., advanced formatting functions, inserting graphics and tables), Excel (i.e., simple financial reports, using simple formulas, linking sheets), PowerPoint (i.e., basic formatting, inserting graphics or tables), and Outlook (i.e., distribution lists, calendar invites, multiple calendars) as well as familiarity with enterprise level business management software systems. 5. Must have a minimum of 4 years successful supervisory experience in an office environment. Preferred Qualifications: 1. Successful experience writing or developing internal communications messages via print and electronic methods. Non-technical website content/image development or management experience. Examples may include customer oriented materials, news articles for employees and communications involving complex topics. 2. Successful experience conducting basic-to-medium level financial planning, tracking or management including proficient use of software systems for accomplishing the same. Examples include assembling data to support a particular hypothesis or answer a particular question and formatting the output in an appropriate manner along with providing insight into the results. 3. Successful experience in developing policies and procedures for moderate to complex organizational processes for managing and tracking resources or complying with auditing and legal requirements. Preferred Multi-Cultural Experience: Demonstrated and successful experience working with people from diverse backgrounds. Knowledge of and sensitivity to a Catholic Marianist work environment.
