Administrative Coordinator RQC - EIMEA (12 months fixed term contract at 50%)


The RQC Administrative Coordinator EIMEA is responsible for providing administrative support to the Health, Safety & Environment (HSE) and Radio Protection (RSO) Manager EIMEA 


This position reports to the Health, Safety & Environment (HSE) and Radio Protection (RSO) Manager EIMEA


Medical Examination and training support

  • Organize Medical Checks for EIMEA employees who have to pass a medical exam because of their country regulation requirement and/or their exposure to the ionizing radiation
  • Organize trainings (electrical safety, radiation expert, ergonomics) for EIMEA employees
  • Update medical exams and trainings status with the help of a global template
  • Coordinate communication of the appointment/availability/certificate between the Health organization, the training Provider, the Accuray employee and his Manager
  • Register/unregister new/former employees in Health organization and training DataBase
  • Search new Health Organizations and training Providers if needed and complete new contracts or contracts renewals
  • Maintain the employees’ list for each Health organization
  • Maintain the employees’ information, such as new address, new expiry dates or other modification

Administrative support

  • Maintain yearly Prevention Plans according to local legislation
  • Maintain the dosimetry surveillance deliverables
  • Manage invoices, prepare Purchase Requests, collect approvals, follow-up on payments.
  • Wide range of administrative support at all levels to optimize HSE & RSO Manager’s time (handle routine communications: phone, agendas and emails, support travel arrangements & organization of meetings).


  • Relevant diploma/certificate in general administration
  • EHS background / interest in Personnel safety is a plus
  • Excellent computer skills in MS Office (Word, Excel, Outlook and PowerPoint)
  • Fluency in English and French, additional language preferred
  • Highly service oriented, team player and flexibility
  • Good interpersonal communication skills
  • Demonstrated ability to multitask with a high level of initiative and motivation
  • Experience in an international environment is a plus
  • Excellent organizational and time management skills
